About this position
We are looking for a proactive, organized, and service-oriented Administrative Assistant Consultant. As an Administrative Assistant Consultant, you will provide administrative, logistical, and operational support to the Division Chief Management Team, ensuring the efficient coordination of daily activities, meetings, correspondence, travel arrangements, documentation, and divisional processes. You will contribute to the smooth functioning of the team by managing multiple priorities, maintaining attention to detail, and fostering effective collaboration across stakeholders.
You will work in the Transport Division, part of the Infrastructure and Energy Sector Department. This team is responsible for supporting the development of sustainable, efficient, and inclusive transport systems across Latin America and the Caribbean through project financing, technical assistance, policy dialogue, and knowledge generation.
What you’ll do
- Provide overall administrative support to the Division Chief. Manage her agenda and scheduling priorities (meetings, conferences and any other activities in and out of the Bank).
- Make travel arrangements and hotel reservations and prepare Travel Authorizations (TA and the corresponding Statement of Expenses (SOE) using the applicable Bank systems and as per departamental internal procedures.
- Assist in the preparation of presentation materials, meeting minutes, and any other official documents and ensure these are properly filed (either in paper or electronic format) for easy accessibility and future reference.
- Prepare and update the Division Chief’s agenda, including all relevant and necessary material, and ensure the participation of required attendees in meetings with the Division Chief.
- Coordinate with the project team the agenda, compile briefings, talking points, presentations, and relevant information as needed, for managing official missions.
- Make travel arrangements and fill out related expenses reports for the Division Chief.
- Support in the application process for the participation of TSP staff members in external events representing the Bank in accordance with the provisions of the Bank Policy and following the requirements established by ORP and SEC.
- Coordinate all the activities related to logistics for meetings and seminars, and administrative activities such as, but not limited to, requesting conference rooms, catering, video conferences, special equipment, travel authorizations, and statements of expenses.
- Serve as back-up person for the hiring process of Complementary Workforce (CW) contracts in Service Now, following up on each contract request from beginning to end
What you'll need
- Education: Bachelor’s degree (or equivalent advanced degree) in business administration, or other fields relevant to the responsibilities of the role.
- Experience: At least 2 years of progressive experience providing administrative or executive support in managerial or executive-level environments.
- Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.

Type of contract and duration
International consultant Full-Time, 12 months (up to 48 months, subject to eligibility).
