About this position
We are looking for a dynamic, experienced, and resourceful Consultant who enjoys working in a fast-paced, diverse, and motivated environment to join our communications team to provide administrative support to the Communications Division in a broad range of technical and administrative functions and to aid EXC´s front office in the coordination of general administrative support when required.
You will work in Communications Division part of External Affairs and Communication department. This team is responsible for provides advice, expertise, and tools for dissemination and communication planning and execution, to position IDB’s brand, work, and development opportunities in the Latin American and Caribbean Region with internal and external partners. In this capacity, you will work closely with the Executive Communication Team; a vibrant group whose main responsibility is to support the communications of the Office of the President, and the IDB’s Executive Team, contribute to develop the Bank’s executive communications priorities, and develop cross-cutting messages to help position the IDB Group based on those priorities. The Executive Communications Team is part of the Communications Division.
What you’ll do
The main activities to be performed are:
a. Continuous process improvement support
Store and retrieve information, in accordance with the Bank's retention policies and procedures to ensure the adequate retention of all documentation that contains information of requests associated with budget management.
Provide support in the management of internal service requests handled through ServiceNow.
Support the analysis, documentation, and implementation of new internal processes.
Streamline and update internal processes, as well as the mechanisms and tools.
Support the preparation of documents, memorandums, reports, and others, including editing, translation, and formatting thereof, at the request of the supervisor.
Maintenance of complex manual and electronic files
Support, at supervisor’s discretion, efforts, projects and/or tasks associated to the continuous improvement of internal processes and systems.
b. Executive communications team support
Assist in contract and vendor management in coordination with EXC Front Office, as needed
Process mapping and documentation, providing administrative support to improve everyday processes and procedures and any other documents
Workflow management of various internal processes
Support in the coordination of gatherings or events as required by management
Assist in Human Resources matters related to pre and post selection processes.
Support in matters related to scheduling, supplies, travel and other administrative matters.
Assist in the preparation, editing and finalizing correspondence, emails, meeting agendas, minutes
Help disseminate information internally and sharing of good practices Front Office and the other Divisions/Units
Handled multi-faceted responsibilities including small purchasing, bill payments, travel arrangements and statement of expenses preparation.

Handle license management process
Email reminders to all staff regarding administrative processes, follow up upon front office request.
Support onboarding and offboarding processes of the group’s employees
Handle Master Service Agreement’s task orders requests and follow up
Manage group’s employees attendance calendar when required and other internal processes as requested by the group head
Coordinate travel and accommodation requirements, in connection with others if necessary, and ensure arrangements in place for the team
C. Division's Administrative Coordination support in direct coordination with the Communications division administrative coordinator, work in the following activities as needed:
Manage office correspondence
Arrange calendars/meetings
Ensure effective management of records in the office:
Coordinate travel and accommodation requirements, in connection with others if necessary, and ensure arrangements in place for the DCC Division Chief match their requirements.
Provide information and advice on the application of IDB administrative policies.
Liaise with clients, senior management and EXC personnel
Provide other technical and administrative support as requested by supervisor.
What you'll need
- Education: Bachelor’s degree in business administration, or related fields. Years of relevant experience will be particularly considered.
- Experience: At least two (2) years of relevant experience at national/international level in similar roles.
- Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.
