About this position

We are looking for a proactive, dependable, detail‑oriented and experienced Administrative and Project Support Coordinator, who can manage multiple priorities and initiatives, bringing strong organization and a clear focus on client needs. The consultant needs to be able coordinate a range of activities in a fast‑paced environment, while providing support in project tracking and budget oversight to help keep deliverables on track.

You will work within the Portfolio Monitoring and Business Analytics (PMA) Group, part of the Administrative Services Division (ACP), and will support activities across the division. The PMA team oversees the facilities capital investment portfolio, supports the management of administrative and capital budgets, and leads digital transformation and data and analytics efforts.

What you’ll do

  • Coordinate day‑to‑day administrative activities, including meetings, agendas, communications, and follow‑up with internal teams and stakeholders.
  • Support events and logistics, including Bank‑wide initiatives, travel arrangements, mission reporting, and coordination with other departments.
  • Support financial and procurement processes, including purchase requests, payments, expense tracking, and data validation, ensuring accuracy and proper documentation.
  • Monitor service level agreements using performance indicators to ensure effectiveness, quality, timeliness, and compliance with standards. 
  • Support reporting and operational tasks, including document editing, presentations, database updates, and client request tracking.
  • Support project monitoring, ensuring standards are applied, tracking progress, and maintaining accurate data for reporting and decision-making.

What you'll need

  • Education: Bachelor's degree in Business Administration, Business Analytics, Project Management, or a related field., or other fields relevant to the responsibilities of the role.  
  • Experience: At least 2 years of relevant experience in office administration, project coordination, and/or budgeting. You are proficient in Microsoft Office tools. Knowledge of project management tools, service management platforms such as ServiceNow, and enterprise systems such as SAP is a plus.
  • Strong organizational and coordination skills, with the ability to manage multiple priorities and stakeholders.
  • Clear communication and collaboration skills with a client‑focused mindset.
  • High attention to detail, ensuring accuracy in administrative, financial, and reporting tasks, and effective tracking of activities and performance.
  • Solid analytical and problem‑solving skills, with the ability to review data and identify key insights.
  • Languages:  Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.

 

Requirements

  • Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.

Type of contract and duration

International consultant Full-Time, 15 months (up to 48 months, subject to eligibility).
