About this position

We are seeking a dynamic driven, proactive, experienced and detail-oriented Contract Administration and process coordination consultant to significantly enhance our department operations. This role will be pivotal in the full lifecycle of contract management, from supporting the negotiation and preparation of contracts to their meticulous administration and analysis. A strong emphasis will be placed on ensuring precise budget execution and financial compliance throughout the contract's duration. You will play a key part in guaranteeing our commitments are not only effective and efficient but also meticulously managed to support organizational goals and stringent compliance standards.

You will work as part of the Manager's office team of the External Affairs and Communication department. The Resource management team provides specialized and quality services and solutions to the entire department for the monitoring, executing, and analysis of the usage and transparent allocation of human and financial resources available to support the department activities, continually assessing internal processes with a goal towards cost-containment, avoiding duplicity and enhancing effectiveness towards operational excellence. The team provides technical and functional advice to EXC Management related to resources allocation and integrates a multidisciplinary group to optimize internal processes.

The External Affairs and Communications Department is responsible for managing internal and external communications, managing and expanding the Bank’s brand, providing protocol services and managing external outreach efforts to stakeholders including Civil Society and governmental entities. The Department, reporting directly to the President, leads IDB Group -wide efforts to (i) consolidate and strengthen communication and external dissemination efforts for the IDB Group, ii) foster more effective internal communication; iii) establish a consistent institutional voice across all communications efforts across the IDB Group, reinforcing our brand and values; iv) manage internal and external communications efforts, channels and interactions with the media; v) manage and expand the Bank’s brand and reputation; vi) oversee external outreach and engagement with key stakeholders including civil society organizations, governmental entities, community, media, etc.; vii) manage events production for IDB internal and external events; viii) manage protocol services; ix) lead IDB community relations program efforts; and; x) manage the Bank’s arts, transformation and culture programs

What you’ll do

As part of your daily activities, you will support the following processes:

Compliance, Process and Risk Management:

the analysis, documentation, and continuous improvement of internal processes, systems, and tools. Ensure contract administration activities comply with internal policies, legal requirements, and best practices, including identifying and mitigating contractual risks and liabilities.

Ensure the secure storage and retrieval of all documentation (manual/electronic) according to Bank retention policies. Support the EXC service portal (ServiceNow), managing requests and driving continuous improvement of the ticketing system.

Support the management of the EXC service portal (ServiceNow), administering and responding to internal requests while driving the continuous improvement of the ticketing system.

Ensure all contract administration complies with internal policies, procurement rules, legal requirements, and best practices. Identify, mitigate contractual risks and liabilities, and monitor relevant regulatory updates.

Consulting Firm and Workforce contracts Lifecycle Management:

Manage the full contracting request lifecycle (initiation, tracking, monitoring) for both Consulting Firms and Individual Consultants. Conduct in-depth analysis of terms, proposals, and budget availability, proactively resolving discrepancies to ensure strict adherence to IDB regulations and best practices.

Monitor contract performance and manage all financial aspects, including meticulous expenditure tracking, invoice verification, payment authorization (A/P functions), SAP budget commitment management, and coordination of the annual accrual process.

Establish and maintain a comprehensive digital contract file system. Manage all lifecycle stages, including amendments, modifications, and renewals, ensuring proper documentation and approval.

Actively support consultant workforce planning and contracting. Coordinate all contract actions (e.g., Business Partner creation/updates, payments) with requestors and corporate areas (Procurement, Legal).

Assist supervisors with Human Resources policies and support the functional onboarding program. Develop performance tracking and assist in the resolution of contractual disputes.

Reporting, Data Analysis, and Administration:

Maintain contract budget information in EXC systems. Extract, analyze, and visualize corporate data to prepare ad hoc and management reports (status, financials, KPIs), acting as a strategic partner to support data-driven decision-making and contract monitoring.

Promote internal communication and knowledge sharing on administrative processes. Foster a positive work environment through team-building and social events. Provide support for the preparation, editing, and formatting of documents (reports, memorandums).

 

What you'll need

 

Education: bachelor’s degree (or equivalent advanced degree) in areas related to accounting, finance, business administration, internal control, or other fields relevant to the responsibilities of the role.

Experience: At least 2 years of progressive experience in areas such as accounting, administration, auditing, finance, or budgeting

Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.

Type of contract and duration

•  International consultant: International consultant Full-Time, 12 months (up to 36 months).
