About this position

We are looking for a detail-oriented and organized professional to join the Manager's Office team. As an Administrative Consultant, you will provide essential administrative support to ensure the smooth operation of the team, contributing to the sector’s efficiency and effectiveness.

You will work in the Infrastructure and Energy Sector (INE). This team is responsible for preparing the Bank sector policies, strategies, operational guidelines and programs in infrastructure and environment; conducting relevant research and analytical work, best practices and case studies on this area; and providing specialized technical support in borrowing member countries.

What you’ll do

  • Support the processing and administration of payments for INE Divisions and Manager's Office through institutional systems (SAP, Convergence, BPP portal, etc.), including non-PO invoices, Letters of Agreement, and Letters of Contribution, and follow up on payment status and assist in coordinating with finance when issues arise.
  • Provide back-up support for SAP allocation processes and accounts payable functions, as needed, and support the documentation and coordination processes related to the hiring of consultants and consulting firms for the Manager's Office.
  • Submit Complementary Workforce (CW) contracts in ServiceNow (SNOW) as initiator for INE Manager's Office, and CW amendments for Sector’s divisions.
  • Assist in tracking the preparation and processing of contracts, amendments, and payments, and respond to routine inquiries from divisions, and support the review of Terms of Reference (TORs), individual consultant and consulting firm contracts, consultant fees information, and supporting materials to ensure completeness and alignment with applicable. procedures and guidelines.
  • Provide support to management and specialists by assisting with procurement and financial process requirements in accordance with institutional policies and procedures.
  • Assist in the preparation of reports related to Complementary Workforce and Consulting Firm Contracts for the INE Manager's Office and support the monitoring and follow-up of contract, amendment, and payment processes for the Sector divisions.
  • Maintain INE tracking lists of payments, contracts and amendments on a weekly basis, and coordinate logistics for meetings & workshops such as invitations, announcements, conference room, catering, video conferences, equipment, etc.
  • Support the coordination, organization, and logistical preparation of INE Manager's Office events and conferences, including coordination with vendors, preparation of materials, attendee support, and follow-up logistics
  • Support INE Sector in the vendor creation and registration in BPP for event guests, and guide on how to solve inquiries about policies, procedures, and systems according to Bank's policies and procedures.
  • Act as back-up for shopping carts in Fiori according to internal guidelines, and carry out administrative, operational, and coordination support activities related to the objectives of the assignment requested by Manager or Office Resource Planning & Administration Lead.

What you'll need

Education: Bachelor’s degree in Business Administration, Human Resources, Political Science, Law, Legal Studies, or other fields relevant to the responsibilities of the role.
Experience: At least two (2) years of relevant professional experience and Knowledge of Microsoft office suite, Acrobat. Knowledge of SAP, Service Now, EZ-Share, Convergence, and Bank applications is highly desirable.
Languages: Proficiency in English and Spanish, spoken and written, is required.

Type of contract and duration

  • International consultant Full-Time, 18 months (up to 48 months, subject to eligibility).
