The Office of the Executive Auditor (AUG) has a Mission to increase the likelihood of the Inter-American Development Bank (IDB) Group achieving its goals and objectives through the provision of independent and objective assurance and consulting services on governance, risk management, and control processes, in accordance with ethical and relevant professional standards, and improvements to the organization’s accountability and transparency for results.

The AUG Strategy and Risk Based Annual Plans (RBAP) include a variety of demands that are incorporated in audit engagements as well as cross cutting departmental initiatives.

About this position

AUG is looking for an administrative consultant to support the front office as well as the Management Team.

What you’ll do

  • Administrative support to the Executive Auditor and RPA and to a Principal Specialist, including managing their agenda and coordinating meetings and missions. Provide support coverage for the Executive Auditor’s assistant/RPA.
  • Assist staff with mission coordination, travel preparation, and statement of expenses in Concur. Coordinate internal meetings and provide logistical support for inter-departmental and inter-organizational meetings, seminars, conferences, retreats, workshops, and special events, both in the region and at IDB headquarters. Perform any other administrative tasks as requested.
  • Coordinate interviews for staff and contractual hiring processes.
  • Contract requester in Service Now & SAP. Process allocation of payments, request payments when needed, as well as VDIs, access for consultants, and visitor access.
  • Request AUG staff participation in Board Committees weekly and obtain, distribute, and upload locked documents from SEC to the AUG internal repository.
  • Assist with AUG’s information policy matters and create and update AUG codes.
  • Format, translate and transcribe reports & documents, meeting proceedings, and communications, and draft responses to routine correspondence as needed. Submit documents to the SEC System (D2S).
  • Support managing and uploading reports in the AUG’s SharePoint, EzShare, and Intranet.

What you'll need

•    Education: Technical Studies or Associate Degree relevant to the responsibilities of the role.

•    Experience: At least 2 years of professional experience  

•    Languages: Proficiency in Spanish and English spoken and written, is required.

•    Citizenship:

    -    (IDB/ IDB LAB - International) You are a citizen of one of our 48-member countries. We may offer assistance with relocation and visa applications for you and your eligible dependents.
    

•    Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.
 
•    If consultant (Local Remote Modality): The selected candidate will not provide services from the Bank‚Äôs office and will not be provided a physical space on the premises of the Bank‚Äôs Country Office. The candidate selected will be responsible for setting up the space, and for having the equipment, internet, and phone accesses to accomplish these TORs, outside the Bank‚Äôs office. Access to the Bank‚Äôs systems will be arranged in coordination with the Bank.

Type of contract and duration

 

•    Consultant:  
    -    International consultant: International consultant Full-Time, 12 months (up to 36 months).  
 
If international, Headquarters (Washington, D.C), whereas if national 100% remotely from place of residence of selected candidate and services are expected to be provided from a country where the IDB Group has offices.
