About this position
We are looking for a qualified, energetic and dedicated candidate to work with the Institutions for Development Manager’s team.
You will provide comprehensive administrative support to the Manager and the IFD Front Office, ensuring efficient operation and coordination of activities. This role requires a proactive individual with excellent organizational, communication, and technical skills.
What you’ll do
Consultant and Vendor Management:
· Process payments and related transactions, including cost allocation, payment reviews, and amendments for contract extensions and cancellations in the Bank's systems.
· Follow up on the creation of Shopping Carts, Vendors, and Bank Information for new individual consultants and firms in the Bank’s systems (SAP, Hyperion, BPP, Service Now, Convergence, etc.).
· Support the preparation of consultant’s contracts and payments, responding to inquiries about system and payment clearance issues.
· Maintain accurate accounting records expenses, ensuring all transactions are properly documented, archived and reconciled in accordance with Bank policies.
· Manage expense reports through the Concur system, ensuring all expenses are accurately recorded and submitted on time.
Coordination:
· Manage incoming requests and communications with internal and external stakeholders, providing information and directing inquiries to the appropriate departments or individuals. Draft and send routine communications, including emails, memos, and letters, to convey or request information. Ensure all communications are clear, concise, and professionally formatted, booking flights, accommodations, and transportation.
· Prepare and update the Manager’s agenda, ensuring all relevant materials such as reports, presentations, and briefing documents, are included. Confirm the participation of necessary attendees for meetings. Gather, review, and organize all necessary documentation and materials for the Manager’s official missions. This includes preparing detailed agendas, gathering inputs for talking points, briefing information, and ensuring all documents are up-to-date and accurate.
· Organize and coordinate meetings and seminars, managing all logistics such as travel arrangements, booking conference rooms, processing letters of agreement and arranging catering, providing logistical support for events, coordinating activities with various areas of the Bank and troubleshooting any issues that arise.
Technical and Administrative Support:
· Guide teams on administrative guidelines and review documentation to correctly allocate payments for expenses without purchase orders.
· Prepare recurring and special reports, presentations, job aids, and manuals as needed.
· Monitor and prepare reports on various departmental activities and performance metrics.
· Assist in the approval and distribution of IFD publications, ensuring all materials are reviewed, formatted, and disseminated according to the department’s standards.
· Monitor corporate request deadlines on a weekly basis, ensuring all tasks are completed on time and any potential delays are communicated promptly.
· Maintain official files of documents and reports in accordance with departmental procedures and Bank policies, ensuring all records are organized, accessible, and saved in the official repository
What you'll need
Education: Bachelor’s degree in business administration, accounting, economics, social sciences, management, or related fields.
Experience: Minimum 2 years of relevant experience in the following areas: budget control, management reporting, event organizer, payments, contracts. Good knowledge of SAP and Excel. Knowledge of Bank’s operational activities is desirable.
Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.

Type of contract and duration
- International consultant Full-Time, 12 months.
