About this position

The Citizen Security Division (IFD/CIS) is looking for a meticulous, proactive, and experienced professional to provide administrative and analytical support to the project team leaders and the Division’s Chief. Activities also include support for the coordination, execution, and implementation of the Division's day-to-day administrative and general processes.

The IFD/CIS Division works to strengthen citizen security and justice systems in the region by supporting the design and implementation of effective, evidence-based public policies. Our mission is to help countries reduce crime and violence, promote access to justice, and foster more inclusive, secure, and resilient communities. We do this by strengthening institutions, supporting innovation in service delivery, and fostering collaboration between government and civil society.

The selected consultant will play a key role in crafting compelling narratives, creating impactful content, and positioning the division’s work both within the IDB and with external audiences.

 

What you’ll do

Events production:

  • Support in the planning, organization, and dissemination of virtual, hybrid, and on-site division events, conferences, and meetings. 
  • Coordination of services (Hotel, conference rooms, audiovisual support, catering services, translation, interpretation, printing, virtual and physical room setup, and assembly, among others, depending on the need) including negotiation with external providers.
  • Preparation of a clear work-plan for successful event delivery. (One work-plan and budget per assigned event).
  • Coordinate with the Division’s Resource Planner, the reservations/purchases for trips, hotels, lists of participants and per diem payments to participants following IDB policies. This includes the AM-130 and TORs submission when necessary.
  • Upload events information to the IDB learning system.
  • Provide administrative support for CIS events that require Letters of Agreement (LoA). This includes requesting vendor information, sending LoAs via DocuSign, filling and updating the participants' database, following up on payments, and managing all other communication required with participants.

Technical and Administrative Support: 

  • Work closely with the Division's Resource Planner and Budget Coordinator to assist with administrative requirements and processes related to the corporate functions of the Division.
  • Provide support as needed during the hiring process, including follow-up, monitoring, and reporting on the status. This involves preparing and reviewing the required documentation for individual hiring, including terms of reference, budgets, and contract administration.
  • Guide project team leaders in HQ and COF on the Bank's regulations, norms, and procedures to navigate each administrative process effectively.
  • Ensure adherence to all administrative procedures following the Bank's guidelines and support the implementation of identified institutional strengthening measures.
  • Perform any other related duties as required.

Office Coordination:

  • ​Manage incoming requests and communications, providing information and directing inquiries to the appropriate team member. 
  • ​Prepare and update the Division’s Chief agenda, ensuring all relevant materials such as reports, presentations, and briefing documents, are included. Confirm the participation of necessary attendees for meetings and follow up on any outstanding items. 
  • ​Gather, review, and organize all necessary documentation and materials for the Division’s official missions. This includes preparing detailed agendas, gathering inputs for talking points, briefing information, and ensuring all documents are up-to-date and accurate. 
  • ​Facilitate travel logistics for the Division, including booking flights, accommodation, and transportation. Manage expense reports through the Concur system, ensuring all expenses are accurately recorded and submitted on time. 
  • ​Maintain official files of documents and reports in accordance with departmental procedures and Bank policies, ensuring all records are organized, accessible, and saved in the official repository. 

What you'll need

  • Education: Bachelor’s degree (or the equivalent combination of education and experience) in administration, accounting, management, or other fields relevant to the responsibilities of the role.  
  • Experience: At least 2 years of relevant professional experience. Good knowledge of SAP and Excel. Knowledge of Bank’s operational activities is desirable.​ 
  • Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.

  • Citizenship: You are a citizen of one of our 48-member countries.  
  • Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.

  • Type of contract: International Consultant Full-Time (CNS).
  • Length of contract: 12 months.
