About this position
We are seeking a detail-oriented, client-focused, and proactive professional to support our management team in delivering high-quality corporate, administrative, and logistics support and coordination across 5 different business units under the Global Partnerships Office (GPS). As part of the Front Office team, you will contribute to optimizing Global Partnerships Office (GPS)’s overall performance by responding effectively to the needs of the Office and providing timely, reliable support to both internal and external clients.
The Global Partnerships Office (GPS) of the Inter-American Development Group is responsible for establishing and fostering institutional relationships with governments, companies, investors, foundations, universities, non-government organizations, and other stakeholders. At IDB Group the partnerships and resource mobilization has become more and more mainstreamed and prioritized aligning with the institutional strategies and annual work plan with Countries, Sectors, IDB Invest and IDB Lab. We engage in mutually beneficial alliances that generate value for all partners through nurturing the existing partnerships network and further expand its global ties with development actors in the public and private sectors. These partnerships leverage IDB Group expertise, resources, and regional presence, as well as partners financial and non-financial contributions to improve lives in the LAC region (Latin America and the Caribbean).
What you’ll do
Executive Support to the Manager
- Manage the Manager’s agenda as well as the broader Global Partnerships Office (GPS) calendar, including scheduling, prioritizing, and coordinating meetings, appointments, and events.
- Support the planning, coordination, and execution of internal and external meetings, workshops, and events, including preparation of materials, participant coordination, and post-event follow-up.
- Coordinate domestic and international travel arrangements, including itineraries, logistics, and required documentation.
- Support communications from the Office of the Manager, including correspondence management, preparation of emails and announcements, and coordinating responses to inquiries across the department.
- Support content development for communication channels for Global Partnerships Office (GPS) Manager and other knowledge channels involving the IDB Group’s partnerships and mobilization, including liaising with authors, reviewing materials, and ensuring high-quality publication.
- Review documents submitted for the Manager’s consideration, ensuring accuracy, completeness, and alignment with institutional standards.
- Maintain organized digital and physical records related to the Office of the Manager, ensuring effective document management, version control, and archiving.
Administrative and Departmental Coordination Support
- Provide comprehensive administrative support to the Department and, in coordination with the Global Partnerships Office (GPS) Front Office, support cross-team activities—including budget execution, knowledge and learning initiatives, Human Resources-related processes, digital transformation efforts, and other Global Partnerships Office (GPS)-wide operational or organizational initiatives—to enable efficient day-to-day operations.
- Organize and maintain departmental information resources such as shared drives, internal folders, and communication channels, ensuring easy access to updated materials.
- Prepare materials and provide logistical support for internal updates, team meetings, and departmental exchanges.
- Support onboarding and administrative coordination for staff, consultants, and interns.
- Contribute to departmental initiatives aimed at strengthening coordination, information sharing, process effectiveness, and staff engagement.
What you'll need
• Education: Bachelor's degree in Social Science, Business Administration, Communication, Public Relations, International Relations, Economics, or other fields relevant to the responsibilities of the role.
• Experience: At least 2 years of relevant professional experience or the equivalent combination of education and experience in administrative and logistics support related activities are required. Experience in an international/multilateral organization is a plus.
• Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.
