About this position
We are looking for a dynamic and innovative Administrative Support Consultant who will help us change people lives in Latin America and the Caribbean supporting the ICS team in administrative and corporate activities.
Latin America and the Caribbean face the challenge of promoting rule of law, strengthening the capacity of the state to deliver better services and implement public policies in an effective, efficient, and transparent manner. IFD/ICS is responsible for driving this agenda and its mandate is to strengthen institutional capacity to improve public sector management, increase transparency and integrity, and apply innovative digital solutions. IFD/ICS works to strengthen core government institutions and public management systems to deliver better services to citizens by closing the gap between the policies enacted and their effective implementation. The Division is responsible for defining the strategic directions, developing innovative solutions, deploying sector expertise regionally, and using policy-relevant knowledge effectively.
What you’ll do
- Provide administrative support in activities such as: travel authorizations, managing calendars and agendas, disseminating information to the Division among others.
- Request hiring of individual consultants and consulting firms using the Bank’s systems and procedures.
- Process payments and other related transactions including cost allocation and review of payments, amendments for extensions and cancellations in the Bank's systems.
- Prepare letters of agreement and correspondence related to the organization and coordination of internal meetings, seminars, and workshops.
- Provide logistical support in the organization of events coordinating activities with different areas of the Bank.
- Follow up the creation of Shopping Carts, Vendors, and Bank Information for new consultants and firms in the Bank’s systems (SAP, Hyperion, BPP, Service Now, Convergence, etc.).
- Provide administrative and technical support to the ICS team in the processing, follow up and execution of operations such as Economic Sector Work (ESWs) and Corporate Input Product (CIPs).
- Proactively track the process of preparation of contracts and payments and respond to inquiries about system and payments clearance issues.
- Guide teams in administrative guidelines and review documentation to correctly allocate payments for expenses without purchases orders.
- Prepare recurring and special reports, job aids and manuals as needed.
- Provide support monitoring and preparing reports of budget execution.
The activities mentioned above are the principal duties of the position; however, this does not preclude additional responsibilities which may become necessary, to be approved by the Supervisor
What you'll need
Education: Technical studies in business administration, accounting, economics, social sciences, management, or related fields. Bachelor’s degree preferred.
Experience: Minimum 2 years of relevant experience in the following areas: budget control, management reporting, event organizer, payments, contracts. Good knowledge of SAP and Excel. Knowledge of Bank’s operational activities is desirable.
Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.

Type of contract and duration
International consultant Full-Time, 12 months (up to 36 months).
