About this position
The Energy Division of the Infrastructure and Environment Sector is looking for a detail-oriented consultant whose main objective is to provide operational and administrative support, specifically in the areas of contracts and budget. Additionally, the candidate will contribute to any daily logistical activities and events organized by the Division.
What you’ll do
- Individual contract management: support and monitor the vendor registration of external consultants in BPP, review and analyze terms of reference, resumes, and funds to initiate hiring processes and advise the staff to confirm compliance with Human Resources and Bank policies.
- Provide guidance and advise technical staff on procurement processes and hiring consulting firms to ensure compliance with IDB Procurement policies and regulations. Review pertaining documentation, including no-objection memos, request for expression of interest, request for proposals, contract awards, etc.; and submit the requests for consulting firms’ contracts to the Front Office.
- Process and maintain a database of invoice payments, deadlines, hiring categories, amendments, and reports.
- Provide guidance about the travel authorization process for Product and External Services Consultants (PEC), submit the requests to the Front Office and support the process as needed.
- Request extension and/or cancellation of Technical Cooperation in accordance with contract deadlines.
- Request payments to the Front Office for consultants, firms, non-PO invoices, travel authorizations and letters of agreement.
- Coordinate logistics and payment issues related to external and internal events organized by the Division.
- Provide general assistance to the Resource Planning Coordinator and technical staff, as requested, to ensure the effective delivery of the division's work program.
What you'll need
- Education: Bachelor’s degree in business administration or any related subject.
- Experience: At least 2 years of relevant experience. Previous working experience and knowledge of the Bank preferred. Skills: (i) Advanced computer skills in MS Office (Word, Excel, PowerPoint, Outlook), and internet use; (ii) ability to provide clear, concise and timely information; (iii) ability to work independently, with initiative and responsibility, and establish work priorities; (iv) ability to work with all personnel.
- Languages: Proficiency in Spanish and English, spoken and written, is required.

- Consanguinity: You have no family members (up to fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.

- Length of contract: 12 months (up to 36 months, upon satisfactory performance.)
