About this position

We are looking for a dynamic, resourceful and innovative Administrative Consultant, who will support the Operations Advisors and Operations Team in the areas of human resources, knowledge, budget, procurement, and general services administration.

You will work with Country Department Central America, Haiti, Mexico, Panama and Dominican Republic. Under this contract, you will report to the Resource Planning and Administration Sr. Specialist and work in collaboration with other members of the corporate team.

What you’ll do

Human resources, knowledge and recognition

  • Support the internal onboarding and offboarding program for CID employees, and process the hiring of consultants and contract renewal in compliance with HR policies, including welcome messages, farewells, institutional announcements, space management logistics and coordinate computer/telephone requests and needs.
  • Support the coordination of the training plan for the operations team and promote a positive and engaging work environment by supporting the implementation of relevant HR exercises, such as work-life balance, diversity and inclusion, strengthening collaboration and teamwork, team-building and well-being events. 
  • Collaborate to ensure compliance of leave administration, mandatory courses, Monday application, among other corporate requirements.
  • Monitor the execution and disbursements of the Front Office’s contracts in coordination with supervisors

Office administration

Administration of the institutional mailbox, including follow-up on requests and coordination of responses.

  • Monitors the purchasing of goods/services, including requesting quotes and follow up contracts (catering, transportation, etc).  
  • Coordinate travel arrangements and process Travel Authorizations and Statement of Expenses in Concur.
  • Organize and maintain up to date records and files accordingly in CID EzShare
  • Direct assistance to IDB colleagues and teams in managing requests, coordinating meetings, delivering materials, and resolving day-to-day corporate needs, including oversight of pantry supplies such as coffee, snacks, and water.

Event coordination

• Coordinate the logistics arrangements of meetings, workshops, forums, special events, and any other events, including agendas, participant lists, invitation calls, reminders, room setup, budget, as well as coordination with internal and external stakeholders.

What you'll need

Education: Bachelor’s degree or equivalent in Business Administration, Human Resources, Marketing, Social Sciences or other fields relevant to the responsibilities of the role.    

Experience: At least 2 years of progressive experience in Human Resources, procurement and office administration.

Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.

  •  Type of contract:  International Consultant Full-Time.
  • Length of contract: 12 months (Up to 36 months)
