About this position
We are looking for an experienced professional to provide administrative and project-related support to the Infrastructure and Energy Division (IEN). IEN is part of the Industries and Cross-Cutting Themes Department, and leads the development and delivery of operations in transport, water and sanitation, energy, and social infrastructure across all regions.
The selected candidate will provide administrative and project support. Responsibilities include preparing and processing operational documentation; maintaining project records and reporting tools; coordinating meetings, communications, and stakeholder engagement; monitoring project milestones and action items; supporting procurement and consultant contracting processes; performing data analysis and reporting using digital and artificial intelligence tools; and ensuring compliance with institutional policies, procedures, and quality standards.
What you’ll do
- Operational and Transaction Support
- Support project teams in the preparation, formatting, and timely distribution of operational documentation such as non-objection letters, project briefs, and board reports.
- Coordinate administrative aspects of key operational milestones, including meetings and approvals.
- Follow-up on pending actions, approvals, signatures, and documentation requirements.
- Maintain project and operational records in corporate systems (e.g., Maestro, document repositories). Ensure documentation is properly filed, uploaded, tracked, and archived.
- Administrative Support
- Manage calendars, meetings, and appointments for the Managing Director.
- Assist the Managing Director and team members with business travel internal approvals, arrangements, visas, expense reports, and logistics, when required.
- Coordinate meetings, workshops, and events.
- Serve as the focal point for procurement-related processes, such as support in processing contracts with firms and individual consultants (PECs), contract modifications, including extensions, change in TORs, and terminations.
- Perform accounts payable and accounts receivable tasks such as coordination of payments of invoices, reimbursements to employees, vendor registration, petty cash requests, purchase card transactions.
- Assist the Managing Director in the proper administration of the allocated administrative budget.
- Data Management and Technology
- Keep record of travel, conference participation, trainings and project-related activities.
- Maintain internal databases, trackers, and dashboards.
- Compile metrics, prepare reports and presentations, when required.
- Support data analysis using Excel, Power BI, or similar tools.
- Leverage artificial intelligence and productivity tools (e.g., Microsoft Copilot and other approved AI solutions) to enhance operational efficiency, support data analysis, automate routine tasks, improve document quality, and strengthen tracking and reporting capabilities.
What you'll need

Education: Associate degree (or equivalent degree) in Business Administration, Finance, Human Resources, Management, Information Systems, or other fields relevant to the responsibilities of the role.

Experience: At least 4 years of relevant experience in a position with similar attributes and responsibilities.

Languages: Proficiency in Spanish and English, spoken and written, is required.
Requirements
• Citizenship: No requirement.
• Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.
Type of contract and duration
International staff contract, 36 months initially, renewable upon mutual agreement.
