About this position
The Office of Risk Management (RMG) is seeking a dynamic, tech-savvy, and proactive individual to support the manager's office team with a dual focus: (i) delivering high-quality administrative and operational support to senior leadership, and (ii) driving process automation, digitalization, and efficiency improvements across the department’s internal workflows.
This role is ideal for professional with foundational knowledge in business administration or finance, combined with strong technical skills in data visualization, automation tools, and artificial intelligence applications. The successful candidate will contribute directly to improving how RMG operates — enhancing productivity, streamlining processes, and enabling better decision-making
What you’ll do
Office Administration Support
- Collaborate closely with the Chief Risk Officer’s (CRO) Assistant and RMG Principal Technical Leaders to manage schedules, coordinate meetings, and prepare documentation and logistics for key engagements.
- Support day-to-day operations by managing calendars, inboxes, and internal communications, ensuring efficient coordination and timely follow-up on actions and deliverables.
- Serve as a back-up for the CRO’s Assistant and the Resource Planning & Administration (RPA) team as needed.
- Prepare and coordinate documents and presentations for management committees and the Board of Executive Directors.
- Manage travel arrangements, expense reporting, and compliance with IDB travel policies.
- Process system access requests and coordinate annual recertifications.
- Assist in organizing internal and external events, including workshops, retreats, and training sessions — overseeing logistics, scheduling, and technical setup.
- Be able to work effectively and deliver tasks in a timely manner, under limited supervision, and in compliance with all Bank policies and procedures.
Resources Administration Support (in coordination with the RPA Team)
- Support the processing of the Department’s administrative payments and keep corresponding records in accordance with the terms of the contracts, following up with requests for payments, among others.
- Support the contracting and onboarding processes of new employees, including the timely coordination with ITE for the set-up of new user accounts, preparing the welcome messaging for incoming team members, guiding new employees with important procedures related to time reporting and office functioning upon arriving to the team, among others.
- Collaborate, as needed, with the execution of the Office of Risk Management Diversity and Inclusion plan, as well as the Risk Awareness strategy.
- Assist in the execution of the annual departmental training plan.
Digital Process Automation & Efficiency Solutions
- Map, document, and analyze recurring administrative and operational processes (e.g., purchase orders, budget tracking, onboarding, hiring workflows) to identify automation opportunities.
- Design and implement technology-enabled solutions using tools such as Microsoft Power Automate, Power BI, MS Planner, SharePoint, and AI-driven assistants to streamline workflows and improve transparency.
- Build and maintain interactive Power BI dashboards to track budgets, procurement requests, staffing actions, and project progress — providing actionable insights to RMG leadership.
- Propose and pilot AI-based solutions (e.g., email automation, document generation, data extraction, and meeting summarization) to support daily operations and decision-making.
- Collaborate with IT and other support units to integrate new tools with existing IDB platforms and ensure compliance with internal policies and cybersecurity protocols.
- Contribute to the maintenance and enhancement of RMG’s internal website and knowledge-sharing platforms.
- Support training and knowledge-sharing initiatives to promote the adoption of new tools and technologies across the department.
What you'll need
• Education: Bachelor’s Degree in Business Administration, Finance, Information Systems or related areas.
• Experience: At least two years of relevant professional experience, some of which would preferably have been in areas related to general business administration.
• Languages: Proficiency in English and Spanish, spoken and written, is required. Additional knowledge of French and Portuguese is preferable
