About this position
The Staff Association is seeking a strategic, experienced, and forward-thinking Operations Analyst. In that role, you will be responsible for attending to SA administrative and client relations matters thus contributing to its day-to-day functioning and attention to SA members and external stakeholders’ inquiries.
You will work for the IDB Staff Association (SAS), that is an independent entity committed to promoting the welfare of employees and representing the interests of its members before the Administration. The SAS serves people who serve the region, and that mission inspires us to do our best every day. Our main goal is to support all IDB Group employees (staff and consultants) during their journey through the organization in Headquarters and Country Offices and offer them services and benefits that contribute to a healthy and productive work environment. What you’ll do
- Attend to SAS administrative tasks related to the functioning and organization of its Board of Directors. This includes tasks such as ensuring the proper planning and execution of logistics for Board meetings (date/time; catering services among others), and any other Board-related matter that may occur.
- Attend to member-related tasks such as: (a) membership processing (HQ and country offices), (b) Fitness Center membership, (c) overview of SA services and benefits, (d) access to memberships with external service providers such as Legal Resources and Bikeshare, (e) negotiation with external providers regarding entry tickets to shows, sports events, concerts in the DC area of interest to members in HQ, (f) identify and negotiate with external providers deals of interest to members in country offices.
- Coordinate and (co-)organize cultural / art events with the Bank’s Art/Cultural Committee.
- Participate in Fitness Center Committee (FCC) meetings and follow-up on FCC related decisions.
- Assign correspondence received by the Staff Association to the corresponding SA office staff team, follow-up on action items within the SA office team or, if applicable, other Bank departments. Handle responses to routine requests for information.
- Assist with other tasks related to SA office management, information management / records and event management (e.g. General Assembly, webinars).
- Administrative support to all SA personnel.
- Store, complete metadata and general maintenance of SA records using SharePoint.
- Support the preparation of periodic communications, including newsletters, online publications, and other SA announcements.
- Assist in data gathering, running reports, and creating simple data visualizations
What you'll need
- Education: Bachelor's degree (or equivalent) in Human Resources Management, Business Administration, or other fields relevant to the responsibilities of the role. A Master's degree is preferred.
- Experience: At least 1 and 3 years of progressive experience in a role focused on administrative, organizational and negotiation functions and inter-personal skills in a multicultural environment.
- Languages: Proficiency in Spanish and English, spoken and written, is required. Knowledge of Portuguese or French will be considered a plus.

- Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.
Type of contract and duration
Staff: International staff contract, 36 months initially, renewable upon mutual agreement.
