About this position

The Office of the Vice President for Human Resources and Digital Transformation (VHR) is seeking a highly organized, proactive, and detail-oriented Resource Planning and Administration Specialist/Senior Associate to provide comprehensive support to the Vice President’s Front Office. The selected candidate will play a key role in the planning, monitoring, and execution of its work program, human resources management, reporting and analysis, events coordination and communications, process improvement, and office administration. The ideal candidate combines strong organizational and analytical skills with a customer-service mindset and the ability to navigate multiple priorities in a dynamic environment.

Comprised of the Human Resources Department (HRD) and the Technology and Transformation Department (TTD), the Vice Presidency of Human Resources and Digital Transformation (VHR) underscore the importance of human capital as a critical asset to the organization. By bringing together human resources and information technology under a single vice presidency, the IDB Group seeks to strengthen collaboration and ensure closer alignment between workforce needs and technological capabilities, ultimately enabling the Bank to serve its member countries and clients more effectively.

What you’ll do

  • Carrying out workforce planning activities, including processing hiring requests and other personnel decisions by interacting with Human Resources and other support departments. You will also administer VHR's peer-to-peer recognition platform, including trend analysis and actions to foster utilization.
  • Support the formulation, approval, and execution monitoring of the budget, including regular expense tracking, processing of budget requests, purchase orders, payments in SAP and relevant month-end and year-end closing activities
  • Collect and analyze data to prepare reports, presentations, charts, and dashboards that support decision-making, institutional reporting, and VHR-wide communication efforts through multiple channels.
  • Liaise with other relevant departments and teams across the Bank to collect and consolidate information, monitor execution, and contribute to the preparation or review of documents for Management and or the Board of Directors.
  • Work in close coordination with the Human Resources and Technology and Transformation Departments to ensure effective planning, monitoring, and execution of all budgetary and administrative matters related to the Vice Presidency.
  • Maintain and improve internal processes and documentation, ensuring compliance with Bank policies and procedures, accuracy, standardization, and continuous improvement across workflows and systems.
  • Provide general support to VHR-wide projects and initiatives, assisting in coordination, data collection, analysis, logistics, and follow-up to ensure timely and high-quality results. As designated by VHR, lead or co-lead VHR cross-cutting initiatives in close coordination with other VHR departments and teams across the Bank.

What you'll need

Education: Master’s degree or equivalent in business administration, Finance, Accounting or other fields relevant to the responsibilities of the role. Project management certification is a plus.

Experience: At least 4 years of relevant professional experience related to the key responsibilities of the position, including a minimum of 2 years of international experience. Experience with IDB systems and processes—such as SAP, Hyperion, and Concur—is highly preferred. A strong background in resource planning, budget management, contract processing, and invoicing is required. Proficiency in advanced Excel and Power BI is highly desirable; experience in developing and managing dashboards will be considered an asset.

• Languages: Proficiency in English and one of the other Bank official languages (Spanish, French or Portuguese) is required.

Type of contract and duration

 International staff contract, 36 months initially, renewable upon mutual agreement.
