About this position
We are looking for a highly organized and proactive Executive Assistant to support the Chief of the Water and Sanitation Division (WSA). The role combines high-quality administrative support with executive agenda management, preparation and quality assurance of briefing materials, and systematic monitoring of decisions, commitments, and deadlines. The consultant will help strengthen a culture of accountability, timely follow-up, and consistently high-quality deliverables across the Division.
You will work in WSA, within the Infrastructure and Energy Department (INE), which is responsible for conceptualizing, preparing, supporting the execution of, and supervising IDB operations related to water and sanitation.
What you’ll do
- Conduct technical and operational analyses on the Division’s portfolio, priorities, performance, and emerging issues, identifying trends, risks, gaps, and matters requiring management attention.
- Prepare concise, decision-oriented briefing packages for meetings, missions, events, and external engagements, including background notes, talking points, key messages, risks, and recommended actions.
- Produce analytical reports, dashboards, executive summaries, and presentations that synthesize complex technical and operational information for senior management.
- Conduct targeted research and benchmarking on country, sector, institutional, stakeholder, and policy developments relevant to the Division’s work.
- Coordinate technical and operational inputs for briefs and reports, establish deadlines, consolidate contributions, and conduct first-level reviews for clarity, accuracy, completeness, and executive relevance.
- Analyze Division data and corporate information to support planning, resource allocation, portfolio oversight, and management decision-making.
- Manage a division-level system to track decisions, commitments, deadlines, and action items, providing concise status reports and escalating overdue or at-risk matters.
- Develop and maintain templates, methodologies, checklists, and quality standards for recurring analytical products, executive reports, and briefing materials.
- Strategically manage the Division Chief’s calendar and forward agenda, prioritizing engagements, protecting time for critical work, resolving conflicts, and ensuring timely preparation and follow-up.
- Coordinate the Division Chief’s domestic and international travel and key meetings, including itineraries, authorizations, visas, accommodations, agendas, briefing materials, mission documentation, and related logistics.
What you'll need
- Education: Master degree in business administration, public administration, international relations, economics, communications, project management, or another field relevant to executive and organizational support. A master’s degree or specialized training in executive management, project management, organizational management, or a related area is desirable.
- Experience: At least five years of relevant professional experience, including at least three years providing executive support to senior management or coordinating complex agendas, deliverables, and follow-up processes. Experience in an international organization, development institution, or similarly complex environment is highly desirable. Experience with quality assurance of executive materials, action tracking, event coordination, operational or corporate processes, and IDB systems is an advantage.
- Languages: Proficiency in English and Spanish, spoken and written, is required. Knowledge of Portuguese and/or French is desirable.

Type of contract and duration
- International consultant Full-Time, 19 months (up to 48 months, subject to eligibility).
